How to add a work business email on Outlook 365 – Tutorial 2023

To set up a business email on Outlook, follow these steps:

  1. Open Outlook and go to File > Add Account.
  2. Choose “Manual setup or additional server types” and then click “Next.”
  3. Select “POP or IMAP” and click “Next.”
  4. Fill in the following information:
  • Your name
  • Email address
  • Account type (IMAP or POP)
  • Incoming mail server (e.g. imap.gmail.com)
  • Outgoing mail server (e.g. smtp.gmail.com)
  • User Name (full email address)
  • Password
  1. Click “More Settings” and go to the “Outgoing Server” tab.
  2. Check “My outgoing server (SMTP) requires authentication” and “Use same settings as my incoming mail server.”
  3. Click “OK” and then “Next” and “Finish.”
  4. Your business email account is now set up on Outlook.

Note: The incoming and outgoing mail server information may vary depending on the email provider you use. Check with your email provider for the correct server information.

The basic ports used for SSL/TLS security are:

  1. Port 443: This is the standard port for HTTPS (HTTP Secure) traffic, which is encrypted using SSL or TLS protocols.
  2. Port 465: This is a legacy port for encrypted SMTP (Simple Mail Transfer Protocol) traffic, also known as Secure SMTP.
  3. Port 587: This is the standard port for encrypted message submission (SMTP) traffic, also known as Submission.

Note: These ports may vary depending on the network or security requirements of a particular organization. Always check with your network administrator for the correct port information.

The basic ports used for POP3  and IMAP (Internet Message Access Protocol) are:

  1. Port 110: This is the standard port for unencrypted POP3 traffic.
  2. Port 995: This is the standard port for encrypted POP3 traffic using SSL or TLS protocols.
  3. Port 143: This is the standard port for unencrypted IMAP traffic.
  4. Port 993: This is the standard port for encrypted IMAP traffic using SSL or TLS protocols.

Note: These ports may vary depending on the network or security requirements of a particular organization. Always check with your network administrator for the correct port information.

POP3   VS   IMAP

The main differences between them are:

  1. Email Retrieval: POP3 downloads emails from the server to the client computer, while IMAP stores emails on the server and allows the client to access and manage them.
  2. Email Management: With POP3, all email management (such as deleting and moving messages) is done on the client computer. With IMAP, the email management is done on the server, allowing for multiple devices to access and manage the same email account.
  3. Email Storage: With POP3, emails are stored on the client computer and may eventually be deleted from the server. With IMAP, emails remain stored on the server, allowing for access from any device.
  4. Email Synchronization: IMAP provides two-way email synchronization between the client and server, meaning that any changes made to the email on one device are reflected on all other devices. POP3 does not provide this type of synchronization.

    once I setup my business email. after that can I login using email password or I need to fill these port and mail settings all the time?
